What the trail work looked like in practice

They caught a missing withholding slip that would have broken the trail between our payroll summary and the annual return. The written map made the follow-up with our bookkeeper straightforward.

We only had three days before submission. The pack check flagged two expense schedules whose totals did not match the folder subtotals. We fixed the references in time; I wish we had booked a week earlier so the notes could have been longer.

Prior years lived on three USBs and a box from the old office. Reconstruction for 2023 took longer than I hoped because one supplier never reissued invoices, but the gap list was honest and the index for what we did recover is what I use now.

The gap assessment forced a useful argument between me and our bookkeeper about who owns monthly bank exports. Habits changed; the assessment itself was shorter than a full trail review, which suited us.

Extended note: trading company, 2025 filing pack

A Zhongshan importer arrived with a complete-looking digital pack. Material sales lines mapped cleanly; payroll did not. Two months of withholding slips were absent, and the payroll summary had been updated after an amendment without moving the slips into the revised folder.

We documented the break, listed recovery contacts, and remapped the remaining months. The client kept the trail summary beside the filed return. The mild cost was an extra four days while slips were reissued — better than discovering the hole during a later query.
