How a missing withholding slip breaks an audit trail

Payroll summaries look tidy until a reviewer asks for the slip that proves withholding for a specific month. Without it, the trail from salary expense to the annual return has a hole.

Where the break appears

The return may still foot to the payroll total. The trail fails when a later question asks which third-party record supports the withholding amount. Email screenshots of numbers are weaker than the issued slip.

Practical recovery steps

Ask payroll or the prior bookkeeper for reissued slips early. If a month cannot be recovered, document the search and the substitute support you used — bank debit plus employment contract, for example — so the gap is explicit rather than silent.

Prevention for the next year

File slips into the period folder as they arrive, not at filing week. A monthly checklist takes minutes and avoids scramble later.
